EduPulse - Privacy Policy

EduPulse is school administration software developed by Pulse Generation UG ("we", "us") for schools, colleges and universities ("the institution"). It is used by the institution's staff, not by the general public.

1. Who controls the data

Everything recorded in EduPulse is entered by the institution's staff and belongs to the institution, which is the data controller and is responsible for its lawful use. Pulse Generation UG operates the "Pulse cloud" only as a processor that connects the institution's own computers (section 3). We never sell this data or use it for advertising.

2. Information the app stores

On the institution's own Host computer (or standalone device): students and guardians, admissions, attendance, marks, report cards, fees and payments, staff, payroll, library, health, boarding, inventory, visitors, documents and an audit log. Staff passwords are stored only as salted one-way hashes. Client devices on the school network read and write through the Host and keep no school records of their own.

3. Where it is stored and what the Pulse cloud receives

• All school records stay on the institution's Host computer. Student, guardian, fee, marks, staff and payroll records are never sent to the cloud.
• When the Host is online it connects to the Pulse cloud (a Supabase database operated by Pulse Generation UG) over HTTPS. The cloud receives: the school's name and contact details, its computers' Device IDs, app version and licence status, the list of user accounts (username, full name, role, active, last sign-in — no passwords), and a few daily totals per campus (numbers of students, staff and classes, attendance percentage, fees collected today and outstanding).
• If the school has campuses in other places, the head office and each branch computer exchange those daily totals and internal messages through the cloud. Internal messages addressed to the head office or another branch (sender name and role, recipient, subject, text, time) pass through the cloud so they can be delivered; messages inside one campus stay on its own network. Pulse Generation UG sees only how many messages were sent, never their content.
• Licence requests and support messages the school sends to Pulse Generation UG are stored in the cloud so we can respond.
• Each school's computers hold their own secret keys and the cloud only returns that school's own records — one school can never see another school's data, and the data of other Pulse products is kept separate.
• The administrator can switch the cloud connection off in Head office & branches. EduPulse then works fully offline; only automatic licence delivery and branch messaging stop.
• The app contains no advertising, analytics or tracking SDKs.

4. Security

Connections are encrypted (HTTPS). Every cloud request is checked against the computer's own key, and access to the database is closed to the public: only purpose-built functions run, and each one is limited to the calling school.

5. Retention and deletion

Delete your account inside the app. Open Settings → Privacy & account → Delete my account and confirm with your password. Your name, phone, e-mail and sign-in are erased at once and you are signed out. Student, fee and exam records a staff member entered stay with the school.

Delete all of the school's data. The Super Admin can open Settings → Privacy & account → Delete the school's data. Every record on that device is erased, and we are asked to delete the school's records from the Pulse cloud; we do this within 30 days.

Without the app. Write to [email protected] or use pulsegenerationug.com/delete-account. We confirm who you are, then complete the request within 30 days.

EduPulse runs on Windows, Android, iPhone, iPad and Mac. The same rules apply on every device. On iPhone, iPad and Mac the app has no in-app purchases; licences are arranged directly with Pulse Generation UG.
