PulseHMIS - Privacy Policy

PulseHMIS is hospital management software developed by Pulse Generation UG ("we", "us") for hospitals, clinics and health centres ("the facility"). It is used by the institution's staff, not by the general public.

1. Who controls the data

Everything recorded in PulseHMIS is entered by the institution's staff and belongs to the institution, which is the data controller and is responsible for its lawful use. Pulse Generation UG operates the "Pulse cloud" only as a processor that connects the institution's own computers (section 3). We never sell this data or use it for advertising.

2. Information the app stores

On the facility's own devices (Host computer, standalone device and the LAN client devices it synchronises with): patients, visits, vitals, consultations, laboratory orders and results, prescriptions, dispensing, injections, ward admissions, appointments, billing and payments, users and an audit log. Staff passwords are stored only as salted one-way hashes.

3. Where it is stored and what the Pulse cloud receives

• All patient and clinical records stay on the facility's own devices. Patient names, diagnoses, results, prescriptions and bills are never sent to the cloud.
• When the Host is online it connects to the Pulse cloud (a Supabase database operated by Pulse Generation UG) over HTTPS. The cloud receives: the facility's name and contact details, its computers' Device IDs, app version and licence status, the list of user accounts (username, full name, role, active, last sign-in — no passwords), and a few daily totals per site (numbers of patients, visits today, active visits and admissions, amount collected today and outstanding).
• If the hospital has sites in other places, the head office and each branch computer exchange those daily totals and internal messages through the cloud. Internal messages addressed to the head office or another branch (sender name and role, recipient, subject, text, time) pass through the cloud so they can be delivered; messages inside one site stay on its own network. Pulse Generation UG sees only how many messages were sent, never their content.
• Licence requests and support messages the facility sends to Pulse Generation UG are stored in the cloud so we can respond.
• Each facility's computers hold their own secret keys and the cloud only returns that facility's own records — one facility can never see another's data, and the data of other Pulse products is kept separate.
• The administrator can switch the cloud connection off in Head office & branches. PulseHMIS then works fully offline; only automatic licence delivery and branch messaging stop.
• The app contains no advertising, analytics or tracking SDKs.

4. Security

Connections are encrypted (HTTPS). Every cloud request is checked against the computer's own key, and access to the database is closed to the public: only purpose-built functions run, and each one is limited to the calling facility.

5. Retention and deletion

Delete your account inside the app. Open Settings → Privacy & account → Delete my account and confirm with your password. Your name, phone, e-mail and sign-in are erased at once and you are signed out. Patient and billing records a staff member entered stay with the facility, as medical-record law requires.

Delete all of the facility's data. The Administrator can open Settings → Privacy & account → Delete the facility's data. Every record on that device is erased, and we are asked to delete the facility's records from the Pulse cloud; we do this within 30 days.

Without the app. Write to [email protected] or use pulsegenerationug.com/delete-account. We confirm who you are, then complete the request within 30 days.

PulseHMIS runs on Windows, Android, iPhone, iPad and Mac. The same rules apply on every device. On iPhone, iPad and Mac the app has no in-app purchases; licences are arranged directly with Pulse Generation UG.
